A volunteer is becoming a staff member (or vice versa) How do I set this up in Optima?

When a volunteer moves to a staff position, they must KEEP their old Volunteer Profile and login ID intact. You cannot add "supervisor" to their profile. Changing their profile will change historical data.

Please create 2 Volunteer profiles for the person.

For the one representing the staff as a Volunteer, we recommend that you add the word "(Vol)" to their first name to differentiate when you're looking at reports, etc. and use their home email address in the top section of the page. In their Status tab, make sure they have "Volunteer" checked (but not Supervisor).
In their Applicant Data tab, add their Sworn Date.

For the one representing the staff as a Supervisor, enter their work email address in the top section of the page. In their Status tab, make sure they have "Supervisor" checked (but not Volunteer).


Then setup 2 Login IDs.

For the one representing the staff as a Volunteer, use their home email address. Also check the "Volunteer" checkbox and select their name - the one with (Vol) on it from the "match login to this person" dropdown.

For the one representing the staff as a Supervisor, use their work email address. Also check the Supervisor" (and "Staff", if needed) checkbox and select their name - the one withOUT (Vol) on it from the "match login to this person" dropdown. Be sure to check the "Paid Staff" checkbox.

For case assignments, please be sure to assign the name with "VOL" when they are serving as a Volunteer and the other name shows for cases where they are serving as a Supervisor.

. The login ID should match to the Supervisor name.
